Reservation Procedures

  • The conference rate is US $191 plus tax (currently 17%) for a single or double rooms.
  • Requests for rooms may be made online or by calling the toll-free number 1-800-HILTONS (Embassy is part of the Hilton hotels). Please request the group rate by giving the group code “ATC”.
  • Complimentary Guest Room Internet
  • Complimentary breakfast and standard Embassy Suites Manager’s Reception
  • Cutoff date is Friday, 16 November, 2012

Rates

The conference room rate is US $191 plus tax (currently 17%) for a single or double room. There is a US $25 fee per person/per night for a third or fourth person. All reservations must be received by 6 November in order to guarantee conference rate.

Reservations

  • Online — Reservations may be made online at https://resweb.passkey.com/go/2012ATC . All reservations made online will require a credit card number and valid expiration date.
  • Mail — Click here to download form. Complete, then mark the appropriate box (paying by check or credit card). If paying by check, make your check payable to Hilton Americas-Houston in the amount of $191 plus 17% tax and include the words Arctic Technology Conference on your check. Mail form and payment to:

  • Phone — Contact Hilton Americas-Houston at +1 713 739 8000 to book by phone. Please reference the Arctic Technology Conference to receive the conference rate. All reservations made by phone will require a credit card number and valid expiration date.

Deposit

Hilton Americas-Houston requires a guarantee equal to one night’s stay ($191 plus 17% tax) as a deposit. If booking online or by phone, your credit card will be charged this amount at the time of booking. If booking by mail, a credit card number and valid expiration date or a U.S. check is required.
Hilton Americas-Houston may cancel room reservations without notification if one night’s deposit is not received prior to your scheduled arrival.

Multiple Room Requests

You may reserve up to five rooms online or by completing a form with individual names and fax it to +1 713 577 6167.

Suite Requests

Please contact Hilton Americas-Houston at +1 713 577 6667 to request a suite.

Cancellation Policy

Any room reservation not cancelled 72 hours prior to arrival and not used will subsequently be billed by the hotel to your credit card account.

Important Information

  • Reservations will be assigned on a first-come, first-served basis.
  • A written acknowledgement will be sent to you via e-mail or fax from Hilton Americas-Houston.
